Personal Training Session Checklist

A one-to-one session is the most expensive hour a member buys, and it is judged on attention as much as programming. The trainer is expected to arrive with a plan, check how the client's body is doing today, and stay close enough on heavy lifts to step in before anything goes wrong.

The checklist (12 items)

Written as observable actions, so two trainers scoring the same shift land in the same place. In CrewSharp this is the Personal Training Session checklist in the Gym / Fitness studio starter set, filed under Floor, and every item here is editable.

  1. 1Reviewed the client's notes and goals before the session
  2. 2Asked about pain, injuries or medical changes since last timeCritical
  3. 3Started the session on time
  4. 4Followed a written plan for the sessionMust pass
  5. 5Warmed the client up before loading them
  6. 6Spotted the client on every heavy or overhead liftCritical
  7. 7Explained the purpose of each exercise
  8. 8Adjusted the load when form broke down
  9. 9Stayed focused on the client and off their phone
  10. 10Recorded sets, reps and weights during the session
  11. 11Booked the next session before the client left

What usually goes wrong

Two items are critical. Asking about pain or medical changes before loading anyone protects the client from a plan written for last week's body, and spotting every heavy or overhead lift is the reason the client is paying for a person in the first place.

The items a good total should not outweigh

  • Asked about pain, injuries or medical changes since last time
  • Spotted the client on every heavy or overhead lift

When to sign someone off

A workable bar for this checklist: no critical items missed, a score above a line you set for Personal Training Session specifically rather than one number for the whole building, and observed on more than one shift with at least one of them busy. Then date it, so it can expire.

That last part is the one people skip. A sign-off with no date cannot be re-checked, which means a year later you have a record that says somebody was ready once.

Checklists that pair with this one

Someone trained on this one most often covers these alongside it, which makes them the sensible second checklist to train.

Common questions

What separates a good session from an expensive workout?

Records and rebooking. A trainer who writes down every set and books the next session before the client leaves is running a program. Without those two habits the client is paying for company, and they usually work that out within a month.

What should be on a personal training session checklist?

The 12 items above cover it: reviewed the client's notes and goals before the session, asked about pain, injuries or medical changes since last time, started the session on time, and the rest of the list. Keep it in that range. Fewer and a pass proves very little; many more and trainers stop finishing it during a real shift.

Which items should count as critical?

On this checklist, 2 items are marked critical: asked about pain, injuries or medical changes since last time; spotted the client on every heavy or overhead lift. Missing one means not ready, regardless of the total score, because these are the failures that cannot be corrected after the fact.
