Customer Service Desk Training Checklist

The service desk is where the store makes decisions away from the till: refunds, price checks, phone calls and the customer who cannot find what they came for. It is also the position that keeps the entrance stocked with carts and clear of hazards.

The checklist (11 items)

Written as observable actions, so two trainers scoring the same shift land in the same place. In CrewSharp this is the Customer Service Desk checklist in the Grocery / Convenience starter set, filed under Front End, and every item here is editable.

  2. 2Processed refunds to the return policy

What usually goes wrong

Returned chilled product is the critical item. Once a carton of milk has been in a customer's car it goes to waste, and the risk is a well-meaning clerk putting it back on the shelf because it looks fine.

The items a good total should not outweigh

  • Sent returned chilled product to waste instead of the shelf

When to sign someone off

A workable bar for this checklist: no critical items missed, a score above a line you set for Customer Service Desk specifically rather than one number for the whole building, and observed on more than one shift with at least one of them busy. Then date it, so it can expire.

That last part is the one people skip. A sign-off with no date cannot be re-checked, which means a year later you have a record that says somebody was ready once.

Checklists that pair with this one

Someone trained on this one most often covers these alongside it, which makes them the sensible second checklist to train.

Common questions

Why separate the service desk from checkout?

Because they need different judgement. Checkout is throughput and accuracy at a fixed position, while the desk is deciding things case by case. Someone can be excellent at one and unready for the other, and one combined sign-off hides that.

What should be on a customer service desk checklist?

The 11 items above cover it: greeted customers waiting at the desk, processed refunds to the return policy, asked for the receipt or looked up the order, and the rest of the list. Keep it in that range. Fewer and a pass proves very little; many more and trainers stop finishing it during a real shift.

Which items should count as critical?

On this checklist, one item is marked critical: sent returned chilled product to waste instead of the shelf. Missing one means not ready, regardless of the total score, because these are the failures that cannot be corrected after the fact.
